Livewrite Word Add-In (Privacy)
Livewrite is a Microsoft Word plugin (add-in) that brings Resub's manuscript writing assistance tools directly into your Word documents. This section describes the specific data practices for Livewrite, in addition to our general Privacy Policy above. We adhere to Microsoft Office Add-in requirements and applicable laws in how we handle your data via Livewrite.
Data Collected via Livewrite: When you use the Livewrite add-in, it may collect and transmit certain information from your Word document to our cloud servers:
Document Content: Text and content from your document that you select or that is necessary for the Livewrite tool to function (this includes your manuscript text, suggestions, or other content you explicitly choose to process).
Document Metadata: Basic document information such as file name, format, document authors, comment authors, or other non-personal context (e.g. document language or formatting details) needed to provide accurate writing suggestions.
User Prompts and Commands: Any instructions, prompts, or queries you input into the Livewrite add-in interface (for example, asking the add-in to rewrite a sentence or check formatting).
How We Use Your Document Data:
All data collected through Livewrite is used primarily for the purposes of providing the add-in's functionality and improving your writing or formatting experience. This means the content and prompts from your document are sent securely to Resub's cloud service, where our systems (and integrated AI tools) process it to generate the results you request (such as reformatting your manuscript or suggesting edits).
In addition, Livewrite may identify co-author information (such as names and email addresses contained in the manuscript) for the limited purpose of inviting those co-authors to join Livewrite or related Resub services. We use this information solely to enable collaboration and help grow the Livewrite network in an academic and professional context. Invitations are sent in compliance with applicable laws and co-authors may opt out of further communication at any time.
We do not use your document content or co-author data for unrelated marketing, profiling, or advertising purposes. In line with Microsoft's requirements, we clearly inform you of the personal or document information accessed by Livewrite, how it is used and stored, and the types of parties it may be disclosed to (see "Third-Party Processing" below).
Third-Party Processing (OpenAI): Livewrite leverages third-party artificial intelligence services to provide smart writing suggestions. In particular, we use OpenAI's large language model API to process your text and generate improvements. This means that the content from your document and your prompts may be sent to OpenAI for processing by their AI engine. We only share the minimum data necessary (for example the prompt you enter and the document context) and only for the purpose of obtaining the requested AI-generated output on your behalf. OpenAI does not use data submitted via their API to train their models by default, and retains API processing data only temporarily (OpenAI states it retains API conversation data for up to 30 days to monitor for abuse, after which it is deleted unless legally required to retain it. We do not allow OpenAI (or any third party) to use your Livewrite data for their own purposes beyond providing the service requested. All third-party processors we engage are bound by strict data protection obligations to safeguard your information. Aside from the AI processing described, Resub does not share your document content with any other third parties except as necessary to comply with law or protect our rights (as outlined in the main Privacy Policy).
Data Storage and Security: When you use Livewrite, your document data is transmitted to our cloud infrastructure for processing. All data transfers are encrypted in transit using industry-standard TLS protocols, and we apply security best practices to protect data at rest on our systems. In particular, we employ the same physical, electronic, and administrative safeguards described in our general Privacy Policy to secure your personal information from unauthorized access or disclosure. Please note that, as with any internet-based service, no transmission can be guaranteed 100% secure; however, we continuously maintain and update our security measures to meet or exceed industry standards. Microsoft's requirements for Office Add-ins are also observed – for example, Livewrite runs in a governed add-in environment and communicates over HTTPS to ensure data integrity and confidentiality in line with Office platform security guidelines.
Data Retention
Livewrite retains your document content and prompts for longer than transient processing, in order to support service optimization, quality assurance, and your user dashboard features. Specifically:
Processing and Service Delivery: The content and prompts from your Word document are processed in the cloud and returned to you in real time.
Optimization and Model Improvement: We may store your document content and prompts to review usage, optimize our services, and improve Livewrite's performance. Where possible, data will be pseudonymized and access restricted to authorized personnel.
User Dashboard and Stored Outputs: Certain actions in Livewrite may generate documents, edited versions, or reports that are linked to your Resub account. These are retained in your user profile on the Resub dashboard until you choose to delete them or close your account. This ensures continuity of service and allows you to access prior outputs.
Anonymized or Aggregated Data: We may retain anonymized or aggregated information (which no longer identifies you) for statistical or service improvement purposes.
Legal and Security Logs: Any personal data that must be retained for legal compliance or security purposes (such as logs) will be handled according to applicable laws, and deleted or anonymized as soon when possible.
We will not retain your personal information longer than necessary for the purposes described above. You may request deletion of your stored content at any time via your Resub account or by contacting us directly.
User Consent and Your Choices: By installing or enabling the Livewrite Word add-in and signing into your Resub account, you give your opt-in consent for Resub to access and process your document content as described in this section. Livewrite only operates when you actively use it (for instance, when you open Livewrite or click a Livewrite function to format or edit text), and by doing so you are explicitly requesting and consenting to that content being sent to our servers (and to OpenAI, as noted) for processing. We make this clear during this Privacy Policy. If you do not wish for your document data to leave your local machine, you can choose not to use the add-in for those particular pieces of content. You can revoke Livewrite's access at any time by uninstalling or disabling the add-in, and you may contact us to delete any personal data that may have been stored from your Livewrite usage. In accordance with Microsoft's guidelines, we provide a mechanism for you to rescind consent and opt-out of further data processing – removing the add-in or signing out will stop any future data transmission, and you can request deletion of your data via our support channels. Your general data subject rights (access, correction, deletion, objection, etc.) as outlined in our main Privacy Policy apply to personal data processed via Livewrite as well. For example, if you ever want to withdraw your consent for us to use content you've submitted through Livewrite, we will honor such requests in line with GDPR requirements though doing so may prevent us from providing the Livewrite service.
International Data Transfer: Resub Inc. is based in Canada, and our services (including the Livewrite infrastructure and OpenAI's API) may process your data on servers located in other countries (such as the United States). We ensure that any cross-border data transfers are performed in compliance with GDPR and other regulations. This includes relying on appropriate legal mechanisms (for instance, Standard Contractual Clauses or other adequacy measures) when transferring EU/UK users' personal data to jurisdictions that may not have equivalent privacy laws. We remain responsible for protecting your data throughout these transfers and processing activities. By using Livewrite, you acknowledge that your data may be transmitted to our servers and third-party AI service providers as necessary to provide the service.
Summary: In short, the Livewrite Word add-in only collects what it needs to function (your document text, document info, and prompts), uses it to assist you with writing and formatting, and shares it only with our cloud service and our AI partner (OpenAI) to get you the results you want. We safeguard that data with robust security measures and retain it only for as limited a time as possible. We are transparent about this process and obtain your consent for it, in keeping with Microsoft's policies and privacy laws.
